Who we are
Kulmedia is a trading name of KUi520. In these policies, "Kulmedia", "we", "us" and "our" refer to the business providing services under that name. Kamal Uddin is your contact.
KUi520 is responsible for deciding how personal information is used for Kulmedia enquiries, bookings and its own business administration. For privacy questions or requests, contact kamal@kulmedia.com or 07867 798744.
The business postal address and full legal proprietor details still need to be confirmed for this preview. This notice must be completed with those details before public launch.
Information we collect
- Enquiry and contact details: your name, email address, phone number, business, website, requirements, proposed investment and preferred next step.
- Booking information: the appointment you select and the contact details you provide through Google Calendar.
- Client and project records: correspondence, agreed scope, approvals, invoices and materials you supply to enable us to provide the agreed services.
- Technical information used by the hosting and security providers, such as IP addresses, request times, browser information and security events.
We usually receive this information from you. We may also receive it from a colleague acting for your business. Please only send information you are entitled to share. Do not put passwords, payment card details or sensitive personal information into a general enquiry.
The enquiry form and Google services
The current enquiry form prepares an email in your own email app. It does not send the enquiry automatically or save it to a Google Sheet. You decide whether to send the prepared email to us. Once sent, correspondence is handled through Google Workspace.
We use Google Workspace for business email and administration, and Google Calendar for appointment bookings. A Google Sheets enquiry register is planned, but automatic form capture is not yet connected. This notice will be updated when that connection is active, and the form will explain how information is submitted.
On kulmedia.com, Google Analytics collects usage information only after you accept analytics cookies. This can include pages viewed, device and browser information and approximate location derived by Google. Advertising features are disabled. You can withdraw consent through Cookie settings in the footer. See the cookie policy for the current position.
Why we use information
| Purpose | Lawful basis |
|---|---|
| Reply to your enquiry, prepare a proposal or arrange a call | Steps requested before entering a contract with you. For enquiries made on behalf of a business, our legitimate interest in responding to business requests. |
| Deliver agreed services and manage the client relationship | Performance of a contract with you, or our legitimate interest in delivering services to the business you represent. |
| Keep required accounting and tax records | Compliance with legal obligations. |
| Keep the website secure, prevent misuse and manage complaints or disputes | Our legitimate interests in running a secure business, resolving concerns and protecting legal rights; legal obligations where applicable. |
| Optional Google Analytics | Consent under our chosen approach. The analytics tag remains off unless you choose to allow it. You can withdraw consent through Cookie settings. |
The essential enquiry fields help us identify you, understand the request and reply. You do not have to provide optional details. If you do not provide enough information, we may be unable to respond or perform the requested service.
International processing
Cloud services may process or allow access to information outside the UK. We do not promise that all information stays in the UK. Google provides contractual data protection terms for Workspace, including provisions for international transfers.
Where a restricted transfer requires a safeguard, the applicable arrangement must provide a lawful UK transfer mechanism, such as an applicable UK adequacy decision or appropriate contractual safeguards. Contact us if you would like details of the arrangements relevant to your information. Google describes its terms in its Cloud Data Processing Addendum.
How long we keep information
Our retention schedule is based on the purpose of each record. We review records and remove or anonymise information that is no longer needed.
| Record | Normal retention |
|---|---|
| Enquiries that do not lead to work | Up to 12 months after the last meaningful contact. |
| Essential contracts, approvals and client correspondence | Up to six years after the engagement ends, limited to records needed for the agreement and potential claims. |
| Invoices and tax records | Normally six years after the end of the relevant tax year, or longer if a legal requirement applies. Where self assessment rules apply, records must be kept for at least five years after the relevant 31 January filing deadline. |
| Routine working files, raw footage and duplicate project materials | Normally up to 90 days after final handover, unless the project agreement sets a different justified period. This is not a promise of a permanent archive. |
| Complaint records | Normally three years after closure, or the applicable contract retention period where needed for a related dispute. |
| Hosting and security logs | For the operational, security and investigation periods applied by the relevant provider. We do not control every provider log or claim a fixed period for those records. |
A live dispute, legal hold or statutory requirement may justify keeping specified records longer. We restrict those records to that purpose. Information in backups may remain until the relevant backup cycle expires; we do not promise immediate erasure from every backup. The same enquiry retention approach will apply to a Google Sheets register if it is introduced.
Keeping information secure
We aim to limit access to the people who need it, use appropriate account permissions and security settings, and review access when it is no longer needed. No website or email service can be guaranteed completely secure. Please contact us promptly if you think information has been sent to the wrong person or an account may have been compromised.
Where a client asks us to handle personal data on its behalf, the controller and processor roles, instructions, security measures, subprocessors, retention and incident responsibilities must be agreed in a suitable data processing agreement before that work starts. This website notice is not a substitute for that agreement.
Your rights and choices
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction or a portable copy. You may also withdraw consent where we rely on it. Withdrawal does not make earlier lawful processing unlawful.
You have the right to object to processing based on legitimate interests. You can always object to the use of your information for direct marketing. Contact kamal@kulmedia.com or 07867 798744 to make a request.
We normally respond to data rights requests within one month. If the law allows extra time or an exception, we will explain it. We may need proportionate information to confirm your identity. Requests are normally free of charge.
An enquiry is not an agreement to receive a newsletter. We do not currently operate a newsletter subscription form on this site. We do not use the enquiry form to make decisions about you solely by automated means that have legal or similarly significant effects.
Questions, complaints and updates
If something concerns you, please contact Kamal using kamal@kulmedia.com or 07867 798744. Our complaints procedure explains how we will deal with it. You may also complain to the Information Commissioner's Office.
